Full Day Schedule
Arrive at Russell's — Groom Prep
Location: 10 Sample Street, Demoville VIC 3000
Duration: ~40–45 minutes
Shots to capture:
- Russell getting ready — details (suit, cufflinks, shoes, rings)
- Groomsmen prep and portraits — Kieran, Reuben, Rafael
- Candid moments, laughs, emotion
- Russell's family first look — Russell with Greta & Landon (and groomsmen)
Depart Demoville → Sampleton
~30 minute drive. Aim to arrive at Holly's no later than 12:15 PM.
Arrive at Holly's — Bridal Prep
Location: 12 Sample Road, Sampleton VIC 3001
Duration: Until ~2:40 PM (~2h 25 min)
Shots to capture:
- Holly getting ready — dress details, hair, makeup, accessories
- ~1 hour of Holly solo portraits — priority time for Percy with Holly alone
- Holly with bridesmaids — Davina, Maya, Esme
- Holly's family first look — Penelope, Ivan, Otis, Alana, Delia, Archer
- Candid emotion — getting dressed, reactions, tears welcome
Depart Sampleton → Truffle Duck
~20 minute drive. Aim to arrive at venue by 3:00 PM.
Arrive at Venue — Setup & Rest
Location: Truffle Duck Balmoral, 66 Hyland St, Fyansford VIC 3218
Duration: 3:00–4:00 PM (one hour)
Use this time to:
- Scout ceremony space and identify key angles
- Set up any static cameras
- Liaise with Carla (venue coordinator) for room layout
- Georgia — brief catch-up with Russell regarding first dance filming direction
- Rest and prepare before guests arrive
Guests Arrive
Guests begin arriving. Cocktail atmosphere, candid arrivals, mingling.
Gabriel (guitarist) is positioned outside/opposite the pavilion — great ambient backdrop.
Ceremony Begins
Celebrant: Hayden Halloran
Duration: ~30–40 minutes
Note: Gabriel (guitarist) plays live throughout the ceremony including register signing.
Ceremony Concludes — Cocktail Hour Begins
Guests spill out to the garden for cocktails and canapés.
Candid guest interactions, celebratory shots, confetti if applicable.

Structured photo groups from this point. Full schedule at:

Summary of sessions:
- Post-ceremony — Student photos first (brief — they depart after)
- Then — Full group photo (all guests asked to stay put at ceremony location)
- 5:15–5:35 PM — Family photos (Atwells, Westbrook, family friends)
- 5:35–5:45 PM — Friends group photos (5 groups, ~2 min each)
- 5:45–6:05 PM — Bridal party photos
- 6:05–6:25 PM — Holly & Russell couple portraits

Holly & Russell take a short break. Guests make their way to the reception room.
Reception Schedule
Cover candid moments throughout — guest reactions, laughter, dancing, emotion.
Bridal Party Entrance
Music: "Right Here, Right Now" – Fatboy Slim
Entrance order: Davina (solo) → Rafael & Esme → Reuben & Maya → Kieran & Otis → Holly & Russell (introduced as husband and wife for the first time)
Capture Russell and Holly's entrance — wide shot of the room reaction, then close on the couple.
Entrée Service
Guest candids, table detail shots, food presentation if desired.
Speeches – Round One
📹 Video + photo both requested for all speeches.
- Groom's Party (~6 min) — capture Russell's reactions
- Bridal Party (~6 min) — capture Holly's reactions
- Greta & Landon Westbrook — Russell's parents (~8 min)
Roaming mics will be in use. Get guest reaction shots throughout.
Main Course Service
Continue candid coverage — table moments, conversations, atmosphere.
Sunset Photos — Golden Hour Portraits
Percy & Georgia accompany Holly & Russell for ~25 minutes of golden hour portraits. You'll direct on location — we'll follow your lead.
Pass the Parcel
Fun group game for all tables. Great opportunity for candid guest reactions and laughter shots.
Speeches – Final Round
📹 Video + photo both requested.
- Ivan & Penelope Atwell — Holly's parents (~8 min)
- Holly & Russell (~6 min)
Ivan & Penelope will introduce Holly & Russell at the end of their speech.
Cake Cutting & Dessert
Cake is cut on the dance floor. Capture the cut, Holly & Russell together, guest reactions.
Dessert service follows immediately.
First Dance — Holly & Russell

Father-daughter & mother-son dance follows immediately after the first dance.

General dancing for the rest of the night. Candid coverage as you see fit — great moments happen here.
No obligation to stay in one place — move around, find the moments.

Russell may want a handful of photos with specific friend groups during the dancing — people like Aaron, Abigail, Evelyn & Jonah, Reuben & Edith, and a few others.
Dancing — Wind-Down Coverage
Keep an eye on the time. Final song coordination begins around 10:50 PM.
🎵 Music Cue — Final Song
Current song fades down. The last dance song plays:
"I Got a Feeling" — Black Eyed Peas
MCs will announce the send-off and direct guests outside to form a sparkler corridor after this song.
Bride & Groom Exit — Sparkler Corridor
Guests line up outside with sparklers. Holly & Russell walk through together.
🎵 Exit song: "Ordinary" — Alex Warren (plays as Holly & Russell walk through the corridor)
Percy: If Georgia needs support here, please assist — we're okay if that's a compromise on stills. Try to get some photos if possible, but Georgia's video of this moment is the priority. Use your best judgement on the night.
After the exit, Holly & Russell depart for the evening. 🎉
